How we collect, use, share, and retain your information. Last updated 2 September 2026.
This policy explains what HireFlow Consulting (“HireFlow Consulting”, “we”, “us”) does with the personal information you provide through https://hireflowconsulting.com. We are a staffing and recruitment consultancy, so handling candidate and client data carefully is central to our work rather than an afterthought.
Information we collect
We only collect what you actively submit through our forms.
If you submit a resume (candidates)
- Full name, email address, and phone number
- Current city
- Total years of experience and preferred role type
- Current CTC, expected CTC, and notice period, where you provide them
- Your resume file (PDF, DOC, or DOCX)
If you submit a hiring requirement (employers)
- Company name and contact person's name
- Work email address and phone number
- Details of the requirement: service needed, roles, number of positions, location, and timeline
If you use the contact form
- Name, email address, phone number, and your message
Technical information
Our forms record the time a page was loaded and your IP address, used solely to detect automated spam submissions and to apply rate limits. We do not use this to build a profile of you. If analytics is enabled, Google Analytics collects aggregated, anonymised usage data such as page views and approximate region.
How we use your information
- To match candidates to roles. We assess your profile against live requirements from our client companies.
- To respond to enquiries. We contact you about the requirement or question you submitted.
- To contact you about relevant opportunities. If you submitted a resume, we may reach out about future openings that match your profile.
- To prevent abuse. Spam detection and rate limiting on our forms.
We do not sell your personal information. We do not use it for advertising, and we do not share it with data brokers.
Sharing your resume with employers
This is the most important thing to understand about submitting a resume to a recruitment agency. When you submit your resume and tick the consent checkbox, you are agreeing that we may share your profile — including your resume file, contact details, and stated salary expectations — with prospective employers who have an opening that matches your background.
We share your details with an employer only in connection with a specific, genuine opening. We do not publish your resume publicly, add it to a searchable database that third parties can browse, or share it with organisations that have no relevant role. Once your details are with an employer, that employer's own privacy practices also apply to their copy.
How your information is stored
Form submissions are delivered to our business email inboxes via a transactional email provider. Resumes are sent as email attachments and are not stored on this website or in any separate database or file storage. This is deliberate: less data held in fewer places means less exposure if something goes wrong.
How long we keep it
We retain candidate profiles and resumes for approximately 12 months from your last interaction with us, so we can contact you about suitable openings during that period. Employer enquiry records are retained for the duration of our business relationship and as long as required for our records afterwards. You can ask us to delete your information sooner at any time.
Your rights
You can ask us at any time to:
- Tell you what information we hold about you
- Correct information that is inaccurate or out of date
- Delete your information and remove you from our talent pool
- Stop contacting you about opportunities
Email info@hireflowconsulting.com with your request and we will action it within 30 days. There is no charge, and asking will not disadvantage you in any current application.
Security
This site is served over HTTPS, and form submissions are encrypted in transit. Access to our email inboxes is restricted to authorised team members. No system is perfectly secure, but we keep the amount of data we hold deliberately small to limit the impact of any incident.
Cookies and analytics
This website does not use advertising or tracking cookies. Where Google Analytics is enabled, it sets cookies to measure aggregate site usage. You can block these through your browser settings without affecting how the site works.
Third-party services
We use a small number of service providers to operate this site: a hosting provider (Vercel), a transactional email provider (Resend) to deliver form submissions, and optionally Google Analytics for aggregate usage statistics. Each processes data only as needed to provide their service.
Children
This website and our services are intended for people of legal working age. We do not knowingly collect information from anyone under 18.
Changes to this policy
If we change how we handle your information, we will update this page and revise the “last updated” date above.
